Administrative Manager

MAIN PURPOSE OF JOB

Reporting to the Senior Director, Business Operations, the Administrative Manager leads the overall daily office operations of MSH, including office facilities management, leases, insurance, travel and business registration. Recommends improvements to processes and policies to improve administrative functions and drafts the departmental budget.

Facilities and Office Management (60%)

  • Develops and oversees office standard operating procedures to include office assignments, access to building, and relationships with building management vendor to ensure MSH provides a safe and comfortable working environment. Manages office moves as needed.

  • Manages administrative and facilities staff

  • Drafts the administrative annual budget.

  • General Onboarding of New Staff – Leads the process for operational on/offboarding. Collaborates with HR to ensure staff receive high-quality onboarding to ensure success at MSH.

Insurance Administration (10%)

  • Leads the annual renewal process for corporate liability insurance. Collaborate with the Risk Manager, IT and other departments to ensure MSH compliance with current standards of safety and security. Identify possible risks and risk mitigation measures to keep insurance costs down. Schedules meetings with stakeholders to kick off annual process, gathers required documents, and presents final renewal package for approval.

Business Registration (15%)

  • Oversees the business registration process to ensure MSH is legally compliant in countries of operation.

Vendor Management (15%)

  • Manages the relationship with MSH’s travel vendor. Oversee the process for enrolling staff in vendor system, troubleshoot issues and coordinate with staff to ensure MSH receives high-quality travel support.

  • Oversees the process of vetting new HQ vendors, oversees and ensure updates of the watchlist process, trains staff on use of watchlist, quarterly review of vendor clearance.

REQUIRED MINIMUM EDUCATION

Undergraduate degree in business, international business, or related field

REQUIRED MINIMUM EXPERIENCE

6-8 years of successful experience in operational functions

KNOWLEDGE AND SKILLS

  • Proven management skills, while taking a “hands-on” implementation approach
  • Excellent interpersonal and relationship-building skills
  • Good analytical skills, Excel, etc.

COMPETENCIES

  • Ability to use considerable judgment, initiative and independence
  • Ability to work effectively as part of a team
  • Flexibility and ability to work on multiple projects

Keyboard use, Pulling drawers, Lifting papers <10lbs
