Support Health Programs Group (HPG) Technical Unit.
Specific Responsibilities
Support Technical Unit meetings (25%)
- Schedule, organize, and support meetings, calls, and appointments, including electronic conferencing and videoconferencing facilities.
- Review each week's meetings in advance and anticipate need for preparation and gathering of background materials.
- Gather agenda items and supporting documents, and prepare and distribute agenda.
- Take, share, and archive notes.
Support internal events (25%)
- Schedule, organize, and support events such as brown bags, technical presentations, Technical Portfolio Reviews, Bi-Annual Reviews.
- Take, share, and archive notes.
- Upload event description and materials to Ollie's brown bag page.
- Write summary of event and submit materials to Friday Focus.
Assist Technical Unit with presence on Ollie (15%)
- Assist with HPG page, technical area pages, news items, brown bag pages, MSH calendars, tools, and blogs.
Support LeaderNet events, blogs, resources, recruitment, and marketing (10%)
- Provide support to teams hosting LeaderNet events including preparing materials and tracking deadlines.
- Assist with other content on LeaderNet including blogs and resources.
- Recruit new LeaderNet members.
- Support LeaderNet team in its marketing and communication strategy.
Provide administrative support (15%)
- Coordinate and prepare consultant agreements.
- Assist with orientation of HPG interns.
- Support Technical Unit team in use of shared platforms.
- Archive team files.
- Manage Technical Unit's online calendar.
- Assist in reviewing and submitting Travel Request Forms (TRFs), advances, and Travel Expense Forms (TEFs).
Attend external events (5%)
- Attend external events, take notes, and share them internally.
Conduct desk top research (5%) Assist HPG Technical Unit with desk top research and literature searches as needed.
Qualifications
1 year of related experience.
Bachelor's degree or equivalent.
Preferred:
Preferably international in scope.
Knowledge and SkillsExcellent organizational skills.
Ability to simultaneously manage a variety of time-sensitive tasks and meet deadlines.
Attention to detail and quality.
Excellent interpersonal skills and ability to interact professionally with a culturally diverse staff and clients.
CompetenciesAbility to use computers for word processing, spreadsheets, presentations, scheduling meetings, sharing files, archiving materials, intranet authoring, travel support.
Physical Demands
Light office tasks including printing, scanning.
Occasional need to attend meetings outside the MSH office.
